Setting Default Values

One of the most powerful and time-saving features of Aspect is its ability to fill in a lot of data automatically throughout the inspection process.  Sometimes this happens without your intervention.  For example, when a new piece of equipment is created, its inspection frequency will automatically be set to the site's inspection frequency (if it has one).  In most other cases, you tell Aspect to fill in default values with buttons or shortcut keys in the equipment detail section.  These are the buttons that can set default values, their location, and what they do:

Default values for anything will only be filled if those fields are empty.  If any field already contains data, that data will be kept and setting default values will not affect that field.

Button Name:

Fill Only Equipment/Component Defaults

Shortcut Key:

F7

Location:

Component Data Section

Pressing this button or shortcut key will set the following fields:

  • The equipment barcode if the auto-sequenced barcode field has a valid value
  • The equipment manufacturer if a default equipment manufacturer has been specified in the parent location's detail
  • The selected component of the equipment will get a barcode if the component's barcode check box is checked, and the auto-sequenced barcode field has a valid value.

Button Name:

Fill IR Data and Equipment/Component Defaults

Shortcut Key:

F8

Location:

Component Data Section

Pressing this button or shortcut key will set the following fields:

  • Everything the Fill Only Equipment/Component Defaults button fills
  • The ambient temperature for the current component's reading if the parent location's ambient temperature is set

Aspect will search the parentage of all locations above this equipment for an ambient air temperature.  If an ambient air temperature is not specified for this equipment's parent location, Aspect will look to that location's parent location (if it exists) and continue searching like this until it finds an ambient air temperature or it has checked a root location.  See the location detail topic for more information.

  • The temperature threshold for the current component's reading in the following order:
    • If the current component existed in a previous inspection, the temperature threshold of the most recent previous inspection will be used.
    • If the current component has specified a component type, the temperature threshold of that component type will be used.
  • The infrared image filename for the current component if the auto-sequenced IR field has a valid value
  • The daylight image filename for the current component if the auto-sequenced Daylight field has a valid value

In an inspection where the only data you're adding is the infrared reading of the component (basically any inspection after the initial one), if all of your auto-sequenced fields are set up correctly and the ambient temperature has been entered at the parent location, after pressing this button the only piece of information you should need to enter is the measured temperature!
